The University Transfer Liaison provides exceptional customer service to stakeholders including, but not limited to university and K-12 partners, as well as current and prospective students.
The position is primarily responsible for facilitating the transfer process for all current and prospective students, serve as the main point of contact for all transfer related functions college-wide and assist with the development and maintenance of transfer partnerships and agreements with local, national, and international institutions; including, but not limited to, transfer maps and articulation agreements.
Additional responsibilities will include assisting individuals with all aspects of student services including but not limited to admissions, orientation, registration, financial aid, and support services.
Demonstrates dedication to continuous quality improvement, espouses the mission, vision, values and beliefs of the college.
At times, this position is required to work early mornings, evenings, and weekends as well as travel.
Essential Functions ESSENTIAL DUTIES and RESPONSIBILITIES include the following: Develop appropriate processes for ensuring that curriculum updates are well communicated to students and transfer partners.
Maintain existing transfer and articulation agreements, with our Baccalaureate and high school partners.
Maintain current and establish new articulation agreements in conjunction with the Registrar, Faculty, and Academic Deans with Baccalaureate and K-12 institutions in Michigan, out of state, and internationally.
Provides exceptional customer service while working as a cross-functional student services staff member disseminating information, and answering questions on the admissions process including financial aid, advising, and registration.
Making referrals and fielding telephone calls, text, LiveChat, and in-person inquiries.
Provide content to the JC marketing department for the development and maintenance of the college’s web page and related promotional materials relative to transfer.
Leveraging transfer as a recruitment tool.
Responsible for conducting regular communication and meetings with partnering universities.
Steadfast communications with colleges and universities in the college’s university center.
Work collaboratively with Student Services and Instruction faculty to provide timely transfer information.
Plan and arrange visits of Transfer Representatives from four-year institutions.
Organize, prepare, and maintain a variety of records, statistics, and reports related to the transfer function.
May serve as back-up support for processing of admissions applications, high school and college transcripts and test score uploads.
Assist with applicant outreach (face to face, via phone, email and online) related to the transfer of coursework (including unofficial) at Jackson College.
Including, but not limited to unofficial transfer credit evaluations of prospective students, managing transfer territory caseload, recruit back efforts for reverse transfer opportunities in conjunction with the Registrar’s Office.
Work in tandem with the Director of Admissions & New Student Engagement to identify and create recruitment opportunities for all potential transfer students.
Co-manage and maintain Jackson College information on MiTransfer.
org and other similar web-based platforms highlighting transfer with Registrar’s Office.
Presents to individuals, and small and large groups, regarding transfer opportunities available at Jackson College for prospective and current students.
With permission from supervisor serves on numerous work teams within Student Services and other college departments.
Research best practices nationally related to transfer and incorporates learning outcomes into Jackson College processes, participates in ongoing professional development opportunities within the college and externally.
May attend conferences in Michigan and out of state.
Maintains adequate position specific operating procedures.
Completes assigned performance monitoring activities.
Analyze and evaluate sensitive situations critically and accurately, determine consequences, solve problems creatively and recommend effective courses of action.
Appropriately documents student communications and inquiries; record details of inquiries, comments and complaints, record details of actions taken.
Maintain currency of knowledge in JC systems, policies, and processes to assure the provision of consistent and accurate information.
Embrace a diverse student population recognizing each student’s unique circumstances, needs, and motivations for pursuing higher education.
Assist with the coordination of, and participate in student services and academics activities, events, and projects designed to create an on-going atmosphere of care, concern and goal attainment for students.
Events may take place during non-standard work hours.
In accordance with FERPA, maintain complete confidentiality of student records and other information of a confidential nature.
Responsible for understanding, supporting and actively demonstrating the College’s beliefs, values, mission and vision and being in agreement to be evaluated by same.
Responsible for understanding that this position has been identified as a Campus Security Authority (CSA) position.
You must complete the annual Clery Act training, for and act as, a Campus Security Authority.
This position also supports the Correction Education Program; therefore, this position may be required to travel with regional directors and staff to the correctional facilities to assist with student needs.
Travel as needed to correctional facilities to support CEP program as such will need to pass a LEIN (Law Enforcement Information Network) clearance.
Other duties as assigned.
SUPERVISORY RESPONSIBILITIES: None CONTACTS AND PURPOSE OF CONTACTS Internal: Frequent contact with staff within Student Services and other departments, as well as contact with faculty and administrators in both problem solving and information sharing capacities regarding student registration and academic records.
External: Regular contact with students in a service-providing capacity.
Responds to confidential and sensitive information requests and problems.
Frequent contact with university transfer partners, other 4-year college and university staff, state and local educational associations and organizations, community organizations, high school counselors and teachers, social service organizations, Michigan Works! agencies, etc.
Minimum Qualifications QUALIFICATIONS/EDUCATION Minimum: Bachelor’s degree (B.

) Two years of progressive and successful employment experience in an academic setting Proven record of developing and maintaining meaningful professional relationships with various stakeholders as well as excellent customer service.
Skills and Ability to: Ability to put students’ needs first Apply common sense understanding instructions furnished in written, oral or diagram form.
Compute rates, ratios, and percentages and develop and interpret graphs Experience leveraging various technology platforms including, but not limited to Customer Relationship Management (CRM) models, CRM Software, texting, and live chat platforms.
With strong computer skills using the College’s software including presentation software, generating outreach materials, creating reports, evaluating progress towards goals based on student data and ability to learn new software Deal with problems involving several concrete variables in standardized situations.
Work effectively with a diverse student population.
Provide high quality customer service.
While maintaining confidentiality of student information Work collaboratively within a team environment with a friendly personality Listen effectively, determine informational needs and respond appropriately.
Making decisions independently in high pressure situations and perform duties with minimal supervision Self-motivated and self-directed in seeking out and completing tasks with little or no supervision.
Read and interpret documents such as policies, rules and policy manuals.
Write routine reports and correspondence.
